Recording Personal Information About You
Most information we hold will be collect from you, but we may also obtain information from third parties such as the local authority, health professionals, and previous landlords. We will always tell you why we need your information and how we’ll use it. We will only ask for information that is relevant and necessary for the delivery of our services and to meet our regulatory obligations.
Information we hold about you will depend on the services we are providing to you.
We may also apply ‘markers’ to your information, for example in relation to a vulnerability, to allow us to more effectively deliver services to you.
Information Sharing
Sometimes we need to share your information with other organisations that we work with, or who provide services on our behalf. We will only share relevant details and we will ensure your information remains secure.
We may need to share information in order to provide services under contract (for example sharing your contact details with our contractors to arrange maintenance & repairs, or with medical professionals in order to provide care), or where it is in our ‘legitimate business interests’ (for example informing utility companies that you’ve moved to ensure they have the correct billing details). In these circumstances, we don’t need to ask for your consent. You have the right to object to processing based on ‘legitimate business interests’.
We will also share information:
- To meet our legal obligations
- To provide an online tenant portal (MyAccount)
- In connection with any legal proceedings
- To protect your ‘vital interests’ (in a life threatening situation)
- To detect and prevent tenancy and benefits fraud
We will never sell or otherwise share your information with third parties for marketing/sales.
Verification of Identity
We may ask you to provide proof of identity where this is required for us to provide services to you (for example to check your eligibility for our services).
Accurate and Up to Date
Please tell us if your information changes so we can keep it up to date, for example a change in contact details, or a change in household circumstances.
We will only keep your information for as long as we are required by relevant regulation.
Your Rights
You can ask for a copy of the personal information we hold about you – this is known as a ‘Subject Access Request’ (SAR).
You can also request that information be corrected, erased, or transferred to another organisation.
